Distribution Lists

Distribution lists provide a simple and convenient way to communicate with many employees at once. Set up a distribution list using the extensions of subscribers to whom you wish to send messages. Once this is accomplished you can send messages with one phone call. Each GotVMail extension can have up to 20 distribution lists. Distribution List number 21 is company-wide and works on all extensions that have the feature activated.

Access Distribution Lists

1. Call your account number and press *
2. Enter your extension followed by # or just press # to enter the Administrative mode
3. Enter your PIN
4. Press 8 to access the User Options menu
5. Press 4 to access the More Options menu

Setup Distribution Lists

Press 1 from the More Options Menu. You will be provided with the following Distribution List options:
1. Create a New Distribution List
2. Add Members to an Existing Distribution List
3. Delete members from a list
4. Hear all members in a list
5. Delete your extension from another’s distribution list

Sending a Voicemail Message to a Distribution List
Enter the distribution number or extension followed by #

Recording a message to be sent to a Distribution List

1. Call your account number and press *
2. Enter your extension followed by # or just press  # to enter the Administrative mode
3. Enter your PIN
4. Press 2 to send a message to another user
5. Record your message, press # when finished recording
6. Press # to send the message now
7. Enter the extension number or the distribution list number followed by #, or just press # to spell name
